Creating a Lease

You use the lease functionality in e-automate to provide information about customer equipment on leases. Whether leases are processed “in-house” or through a leasing company, you record both types of leases in e-automate. You can view equipment on leases in two ways: from the Equipment list, by using the QuickSearch filters, or from e-views, by using the Service Lease Equipments view. Editing the equipment record allows you to see information about leases associated with equipment when you are viewing the Contracts/Leases tab. Drill down to more specific lease information by clicking [View Lease]. You can also view information about an equipment lease from within the equipment record, and—for in-house leases—on the service contract that is billing the lease. Getting to the TransactionGetting to the Transaction

On the Service menu, select Leases to open the Leases window.

Click [New] to open the New Lease window.

Complete the following fields as appropriate:

Lease number: Number of the lease, assigned by the leasing company.

Lease company: Company from your customer list to which the lease is contracted.

Customer: The customer who holds the lease.

Code: Code identifying the disposition of the equipment after the lease period.

Start date: Start date of the lease.

Termination date: Termination date of the lease.

Financed amount: Amount financed by the customer.

Billing periods: Number of billing periods on the lease, typically 60 for a 5-year lease.

Payment amount: Customer's payment amount for each billing period.

Interest rate: Interest rate on the lease.

Equipment TabEquipment Tab

Click the Equipment tab to bring it forward.

Click [Add] to open the Edit Lease Equipment window.

Complete the following fields as appropriate:

Equipment number: Number of the equipment from the customer’s list that is financed on the lease.

Show all related equipment: When checked, the equipment at all the locations for this customer displays.

Financed amount: Amount financed for this piece of equipment.

Payment amount: Payment amount this equipment contributes to the overall payment per billing period.

Asset number: Fixed inventory asset tracking information, if any.

Click [OK] to add the equipment to the list.

Repeat Steps 2 through 4 for each piece of equipment included on the lease.

Completing the TransactionCompleting the Transaction

Click [OK] to save the lease information.
