DGServer Email Settings

Backing up your e-automate database is one of the most important things you can do for your company. A variety of software, hardware, and/or backup process issues can occur that may result in lost data and productivity. To secure your data and minimize the potential impact of these issues, we recommend backing up your database at least once every day.

To assist your company with this process, e-admin checks every day at 7 AM (based on your server time) to see if your database has been backed up.  If it has, e-admin takes no action.  If it has not been backed up for more than one day, e-admin uses DGServer to begin sending email reminders to your system administrator to back up the database.  DGServer is a service software that is installed when you install e-admin. E-admin cannot run without it. If the system administrator does not back up the e-automate database within a few days, the system begins displaying a message at login to all members of the Admin group informing them of the number of days since the database was last backed up. If the system admininstrator and the members of the Admin group take no action, the system begins displaying the message at login to all e-automate users.

To summarize, the email and reminders system works as follows:

If for some reason you do not have an email address in the DGServer settings, you do not receive emails (only reminders) at e-automate login.

How to Set DGServer SettingsHow to Set DGServer Settings

From the e-admin menu select File > Settings > DGServer Email Settings.
e-admin opens the DGServer Email Settings window.

In the SMTP Server field, enter your email server address.
Note: This information should be available from your IT system administrator.

In the SMTP Port field, identify the port you use for mail. The typical mail port is 25, change the port as necessary.

If your email server requires SSL encryption, check the This server requires an encrypted connection (SSL) checkbox.

If you want to use secure password authentication, check the Use secure password authentication checkbox.
Note: This option is only available if you are using SMTP authentication.

If you are required to use SMTP authentication with your SMTP server, check the Use SMTP authentication checkbox.
Note: This activates the User name and Password fields.

If you are using SMTP authentication, populate the User name and Password fields as appropriate.

If you want to use secure password authentication, check the Use secure password authentication checkbox.

In the Sender Address field, enter the return address for emails delivered from e-admin.
Note: You may consider entering a generic mail address in this field (e.g., noreply@yourcompany.com).
Note: If you are using Microsoft Office 365, see the Enabling SMTP Auth for Specific Mailboxes topic.

In the Backup failure notification address field, enter the email address to be notified when the backup have not been performed.

To verify you have working email addresses in your fields, click [Save & Send Test Email]. Acknowledge the email was send by clicking [OK] in the Test Email window.

To save your settings, click [OK] to save and close the DGServer Email Settings window.

E-automate databases are also SQL databases. An option to backup your e-automate SQL database is to create a SQL maintenance plan that backs up your database on a daily basis at a location and schedule you specify. Best practice recommendation is that you create a SQL maintenance plan to protect your company data from catastrophic loss.

Microsoft SQL Server is available in a variety of versions with a large offering of support and professionals. For additional information on SQL maintenance plans, see a qualified SQL expert or see appropriate Microsoft SQL Server documentation. Microsoft SQL Express does not offer a maintenance plan.
