Customer Transaction Detail Distributed
The contract specific Analytics views are designed
to provide statistical information regarding the service contracts in
your e-automate database. There are countless combinations of data that
you can configure these views to produce. The amount of information these
views display is completely up to you. You can have as much or as little
data display as you want. To a certain extent, you can also configure
how you want the data to display; the order of the columns on the view,
which filters you want to be able to use within the view, etc. Because
there is so much data you can choose from to have display on your report,
it is best to open the view itself and look through all of the different
options to see what is available.
The information for the Digital Analytics views is pulled from the Digital
Analytics database that you create or update before running any Analytics
specific e-views. The Digital Analytics database is a separate database
that is better suited for performing statistical analysis on information
in your e-automate database. For information on how to create and update
the Digital Analytics database, see the Digital
Analytics Installation and Configuration topic. After you have created
the Analytics database, the following Contract specific Analytics e-views

You can customize these reports to display the information you want to see.
The Customer Transaction Detail Distributed view provides information that you cannot get by looking at the general ledger entries on all contract related customer transactions. As you are processing transactions in e-automate, the system posts transactions to the general ledger automatically. The general ledger is not configured to capture every detail associated with each transaction; instead, the general ledger posts a summary entry. For example, if you sold two different supply items and these items happened to be configured to post to the same general ledger revenue account, e-automate would simply post the revenue total to the general ledger as a single entry to the revenue account. Later, if you were looking at the general ledger you would not understand the full story of what happened on that transaction by only looking at the general ledger. You would not know that there were two different items; you would only know the revenue total. To get this information, you would need to run several additional reports to understand that two different supplies were sold and that they both were accounted for using the same revenue account. Because the general ledger is a summary of the entries and running several reports and analyzing those reports could be time consuming and confusing, the Customer Transaction Detail Distributed view was created to allow you to see statistical information about all customer transactions having to do with service contracts in one place.
The Customer Transaction Detail Distributed e-view is similar to the Customer Transaction Detail e-view, but provides more records. The reason for this is mostly because of contract invoice transaction distribution over periods. The Customer Transaction Detail Distributed e-view allows for smoother trend analysis. The Customer Transaction Detail Distributed e-view provides much of the same information as the Customer Transaction Detail e-view, but also gives more detail about the meter volume and revenue distribution. The Distributed view has several references to the Detail view, so that you will be able to locate the records in both views. The running totals are the same in both e-views.
The Customer Transaction Detail Distributed view is separated into two regions. The top region displays details for each transaction that is included in the view. You determine which columns you want to display using the Customize function. See the Customizing Analytics Views topic. The bottom region provides overall totals for all transactions that are included in the view. Each line item represents one line item of a transaction. You may have several line items for the same transaction. For example, if the transaction listed is a sales order with six items, there will be six line items listed in the view for that sales order for each item.

ID : System unique identifier for the e-view row.
Parent ID : ID number of the identical record in the Customer Transaction Detail e-view for which this e-view is showing distribution detail.
Customer Number : Number assigned to the customer in e-automate.
Customer Name : Customer's company name.
Date : Date the contract was created.
Period : Distributed period of Parent record in the Customer Transaction Detail e-view.
Coverage Period : Period over which the costs displayed in the view are allocated.
Coverage Form : Beginning date of coverage period.
Coverage To : End date of coverage period.
Type : Transaction type of the line item.
Reference : Displays a value that helps you identify the transaction for which information is displayed. Depending on the type of transaction there are several different references that may display. The following list outlines what displays in the reference column for each type of transaction:
All types of Invoices : e-automate Invoice Number.
Credit and Debit Memos : e-automate Credit Memo number or Debit Memo number respectively.
Contract Accruals : e-automate Accrual Number.
Sales Fulfillments : If the invoice is present, the e-automate invoice number displays. If the invoice is not present then the e-automate Fulfillment number displays.
GL Journal Entries : e-automate Journal Reference number.
Inventory Journal Entries : e-automate Journal number.
Accounts Payable Invoices : e-automate Invoice number.
Cashbook Journal Entries : e-automate Journal number.
Purchase Order Receipts : e-automate Receipt number.
Accounts Receivable Receipts : e-automate Receipt number.
Accounts Receivable Payments : e-automate Payment number.
Inventory Transfers and Adjustments: e-automate Transfer number.
Inventory Manufacturing : e-automate Manufacturing number.
Asset Journal Entries (Asset Depreciation): e-automate Journal number.
Overage Forecasts : BLANK (no reference number).
Sub Reference : Displays a second value for identifying the transaction. Not all transaction records will have a Sub reference. The following list outlines what displays in the reference column for each type of transaction:
Service Invoice : e-automate Call number.
Sales Fulfillments : e-automate Sales order number.
Accounts Payable Invoices : e-automate Vendor's invoice number.
Detail Type : Displays the transaction's detail lines. For example, a Service Invoice could involve labor, travel and parts activity. Thus the transaction type would be Service Invoice and the detail type may be Parts, Labor, etc. The following detail types exist in Analytics:

Item : e-automate Item number of inventory item associated with the transaction record, if any.
Description : Displays the description entered in the description field of the transaction type detail.
Detail Desc. : Displays detail description for the transaction. Where this pulls from in e-automate varies depending on the transaction type. Essentially the detail descriptions for the various transaction types will be the equivalent of the e-automate Invoice Detail Descriptions that a user sees when printing an invoice from e-automate. Not all transaction records will have a Detail Desc. The following list outlines what displays in the Detail Desc. column for each type of transaction:
Sales Invoices : Description of the individual line item within the e-automate sales invoice.
Misc. Charge Invoices : Description of the individual line item within the e-automate Misc. Charge invoices.
Sales Invoice Credit Memos : Description of the individual line item within the e-automate Sales Invoice Credit Memo.
Sales Invoice Debit Memos : Description of the individual line item within the e-automate Sales Invoice Debit Memo.
Sales Fulfillment : Description of the individual line item within the Sales Order associated with the Sales Fulfillment.
Service Invoices : Technician's name associated with the individual line item within the e-automate Service Invoice.
Service Invoice Credit Memos : Technician's name associated with the individual line item within the e-automate Service Invoice Credit Memo.
Service Invoice Debit Memos : Technician's name associated with the individual line item within the e-automate Service Invoice Debit Memo.
Accounts Payable Invoices : Description of the individual line item within the e-automate invoice.
Contract Invoices : For Miscellaneous charges this will come from the e-automate contract’s Miscellaneous Charge Description, for Base and Overage Adjustments it will come from the e-automate contract’s Adjustment Description.
Quantity : Quantity associated with the transaction. For some types of transactions the system is set to look at different places in e-automate, in a specific order. If the first field Analytics is set to look at is unavailable, the system will look at the next field, and so on. The following lists each transaction type and where in e-automate Analytics looks in e-automate for the values to display in the view. The e-automate locations are listed in order of priority.
Misc. Charge Invoices : The Quantity column is not applicable for this type of transaction.
Misc. Charge Debit and Credit Memos : The Quantity column is not applicable for these types of transactions.
Service Invoices - Materials : The system looks in e-automate in two different places to locate a number with which to populate the Quantity column for Service Invoices for Materials. The following locations are listed in order of priority:
The system first looks at the Quantity field of the Warehouse/bins/quantity detail of the item detail. To locate this field in e-automate, on the Materials tab of the service invoice for which you want to locate the e-view column source, select the line item, and click [View ] to open the View Report Material window. In the View Report Material window locate the Bins region, select the warehouse/bin you want to view, and click [View ] to open the View Report Material Item Bin window. The Quantity field in this window is the location from which the value in the view originates.
If the Quantity field of the Warehouse/bins/quantity detail is 0, than the system will look at the Quantity field in the item detail of the service invoice. To locate this field in e-automate, on the Materials tab of the service invoice for which you want to locate the e-view column source, select the line item and click [View ] to open the View Report Material window. The Quantity field in this window is the item quantity field from which the number originates.
Service Invoices - Labor : The system looks at the line item Labor Hours field on the service invoice in e-automate. To locate this field in e-automate, on the Labor tab of the service invoice select the line item and click [View ] to open the Edit Labor window. The field Labor hours under the Billing Entries region, is the field from which the number originates.
Service Invoices - Travel : The system looks at the line item Travel Hours field on the service invoice in e-automate. To locate this field in e-automate, on the Labor tab of the service invoice select the line item and click [View ] to open the Edit Labor window. The field Travel hours under the Billing Entries region, is the field from which the number originates.
Service Invoices - Miles : The system looks at the line item Billable mileage field on the service invoice in e-automate. To locate this field in e-automate, on the Labor tab of the service invoice select the line item and click [View ] to open the Edit Labor window. The field Billable mileage under the Billing Entries region is the field from which the number originates.
Sales Fulfillments : The system looks at the number in the Quantity field of the line item detail on the sales order associated with the fulfillment. To locate this field in e-automate, on the Items tab of the sales order associated with the fulfillment select the line item and click [View... ] to open the View Sales order Item window. The Quantity field in this window is the field from which the number originates.
Sales Credit Memo : The system looks in e-automate in two places to locate a number with which to populate the Quantity column for Sales Credit Memos. The following locations are listed in order of priority:

Contract Invoices : The Quantity column is not applicable for Misc. Charges, Base Adjustments, Overage Adjustments, Lease, and Base Contract Invoices. For Overage contract invoices the quantity displayed will be the total meter volume from the contract invoice.
Bill : Indicates if this transaction has been billed.
Is Void : Indicates if this transaction has been voided.
Contract Number : Contract number associated with this transaction.
Equipment Number : Equipment number of the equipment associated with this transaction.
Model : Model of the equipment associated with this transaction.
Make : Make of the equipment associated with this transaction.
Call Number : Call number associated with this transaction.
Sales Rep Number : Number assigned to the sales rep associated with this transaction.
Meter Type : Meter type assigned to the equipment associated with this transaction, if any.
Meter Type Category : Meter type category under which the meter type is assigned.
Revenue : Total revenue generated by this transaction. The following lists each transaction type and where Analytics looks in e-automate for the values that display in the e-view.
Misc. Charge Invoices : The system looks at the number in the Charge amount column of the line item on the invoice. To locate the field in e-automate, from the Accounting menu, select Accounts Receivable > Miscellaneous charge invoices to display a list of Miscellaneous charge invoices. Select the invoice from the list and click [View ] to view the invoice. On the Charges tab locate the line item for which you want to view revenue. The number displayed in the Charge amount column is the location from which the revenue displayed in the view originates.
Misc. Charge Credit Memos , and Debit Memos : The system looks at the number in the Charge amount column of the line item on the credit/debit memo. To locate the field in e-automate, from the Accounting menu, select Accounts Receivable > Miscellaneous charge debit memos/Miscellaneous charge credit memos to display a list of Miscellaneous charge credit/debit memos respectively. Select the credit or debit memo from the list and click [View ] to view the credit/debit memo. On the Charges tab locate the line item for which you want to view revenue. The number displayed in the Charge amount column is the location from which the revenue displayed in the view originates.
Service Invoices, Service Invoice Credit Memos - Materials : The system looks in the Amount field in the line item detail of the service invoice. To locate this field in e-automate, on the Materials tab of the service invoice for which you want to locate the e-view column source, select the line item and click [View ] to open the View Report Material window. The Amount field in this window is the field from which the value in the Revenue column of the view originates.
Service Invoices, Service Invoice Credit Memos - Labor : The system looks at the number in the Labor field of the invoice Summary area. To locate this field in e-automate, from the Service menu, select Service invoices to display a list of service invoices. Select the service call invoice and click [View ] to view the service invoice. Locate the yellow Summary region found in the upper right side of the window. The number displayed adjacent to Labor is the location from which the revenue displayed in the view originates.
Service Invoices, Service Invoice Credit Memos - Travel : The system looks at the number in the Travel field of the invoice Summary area. To locate this field in e-automate, from the Service menu, select Service invoices to display a list of service invoices. Select the service call invoice and click [View ] to view the service invoice. Locate the yellow Summary region found in the upper right side of the window. The number displayed adjacent to Travel is the location from which the revenue displayed in the view originates.
Service Invoices, Service Invoice Credit Memos - Miles : This column is not applicable for this type of transaction. The mileage is included in the Services Invoices, Service Invoice Credit Memos - Travel column.
Service Invoices, Service Invoice Credit Memos - Misc Charges : The system looks at the value in the Charge field on the Miscellaneous tab of the service invoice. To locate this field in e-automate, from the Service menu, select Service invoices to display a list of all service invoices. Select the service call invoice for which you want to view information and click [View ] to open the service invoice in view mode. Click the Miscellaneous tab to bring if forward. The Charge field on this tab is the location from which the revenue displayed in the view originates.
Sales Fulfillments : The system looks at the number in the Amount field of the line item detail on the sales order associated with the fulfillment. To locate this field in e-automate, on the Items tab of the sales order associated with the fulfillment select the line item and click [View... ] to open the View Sales Order Item window. The Amount field in this window is the field from which the number on the view originates.
Sales Invoices : The system looks at the number in the Amount column of the line item on the sales invoice. To locate this column in e-automate, from the Sales menu select Sales invoices to display a list of all sales invoices. Select the sales invoice for which you want to view information and click [View ]. On the Items tab of the sales invoice locate the line item for which you want to view the amount. The number in the Amount column for the line item is the location from which the number on the view originates.
Sales Credit Memos and Debit Memos : The system looks at the number in the Amount column of the line item on the sales credit/debit memo. To locate this column in e-automate, from the Sales menu select Sales invoices to display a list of all sales invoices. Select the sales credit/debit memo for which you want to view information and click [View ]. On the Items tab of the sales invoice credit/debit memo locate the line item for which you want to view the amount. The number in the Amount column for the line item is the location from which the number on the view originates.
Contract Invoices , Credit Memos - Misc. Charges : The system looks at the number in the Amount field on the Misc tab of the contract record. To locate this column in e-automate, click [Contracts ] on the e-automate toolbar to open the Service Contracts console. Select the contract for which you want to view revenue and click [View ] to open the contract in view mode. Click the Misc tab to bring it forward. The value in the Amount field on this tab is the location from which the value on the view originates.
Contract Invoices , Credit Memos - Base Adjustments : The system looks at the base adjustment assigned to the contract associated with the invoice or credit memo. To locate the base adjustment in e-automate, open the contract associated with the invoice or credit memo. Click the Misc tab to bring it forward. In the Adjustment code field, click the down arrow and select Edit to open the Edit contract adjustment code window. The values in the fields of the Base region are where the revenue value in the view originates for this type of transaction.
Contract Invoices , Credit Memos - Overage Adjustments : The system looks at the overage adjustment assigned to the contract associated with the invoice or credit memo. To locate the overage adjustment in e-automate, open the contract associated with the invoice or credit memo. In the Adjustment code field, click the down arrow and select Edit to open the Edit contract adjustment code window. The values in the fields of the Overage region are where the revenue value in the view originates for this type of transaction.
Contract Invoice , Credit Memos - Lease : The system looks at the value in the Payment amount field on the Lease tab on the contract record. To locate this field in e-automate, click [Contracts ] on the e-automate toolbar to open the Service Contracts console. Select the contract for which you want to view revenue and click [View ] to open the contract in view mode. Click the Lease tab to bring it forward. The value in the Payment amount field on this tab is the location from which the value on the view originates.
Contract Invoices , Credit Memos - Base : The system looks at the value in the Base rate of field on the Base billing tab on the contract record. To locate this field in e-automate, click [Contracts ] on the e-automate toolbar to open the Service Contracts console. Select the contract for which you want to view revenue and click [View ] to open the contract in view mode. Verify the Base billing tab is forward. The value in the Base billing of field on this tab is the location from which the value on the view originates.
Contract Invoices , Credit Memos - Overages : The value for the contract invoice overage originates from the overage displayed for that contract on the Contract Invoices report. The Contract Invoices report is listed in the Service group of reports in the e-automate Reports Console .
AP Vendor Invoices : The Revenue column is not applicable for this type of transaction.
Cost : Cost associated with this transaction. For some types of transactions the system is set to look at different places in e-automate, in a specific order. If the first field Analytics is set to look at is unavailable, the system will look at the next field, and so on. Misc. Charge Invoices : The system looks at the value in the Charge cost field, of the line item detail on the Miscellaneous Charge Invoice. Select the invoice from the list and click [View ] to view the invoice. On the Charges tab locate the line item for which you want to view cost and click [View... ]. The number displayed in the Charge cost field of the detail window is the location from which the cost displayed in the view originates.
Misc. Charge Debit and Credit Memos : The system looks at the number in the Charge cost field of the line item detail on the credit/debit memo. To locate this field in e-automate, on the Materials tab of the service invoice/credit memo for which you want to locate the e-view column source, select the line item and click [View ] to open the View Report Material window. In the View Report Material window locate the Warehouse/bin/quantity tab, select the warehouse/bin you want to view, and click [View ] to open the View Report Material Item Bin window. The Avg. cost field in this window is the location from which the value in the Cost column of the view originates.
If the Avg. cost field is 0, the system will look at the Average Cost field of the service invoice/credit memo line item detail. To locate this field in e-automate, on the Materials tab of the service invoice for which you want to locate the e-view column source, select the line item and click [View ] to open the View Report Material window. The Average cost field in this window is the field from which the value in the Cost column of the view originates.
Service Invoices, Service Invoice Credit Memo - Labor : The Cost column is not applicable for this type of transaction.

Sales Credit Memos and Debit Memos : The system looks at the number in the Average cost field on the sales credit/debit memo. If applicable, the system looks at the Warehouse/bin/quantity section of the item detail. To locate these fields in e-automate, from the Sales menu select Sales invoices to display a list of all sales invoices. Select the sales invoice for which you want to view cost and click [View ]. On the Items tab of the sales debit/credit memo locate the line item for which you want to view the cost and click [View... ]. The Average cost field in this window is the location from which the value in the view originates. If the Warehouse/bin/quantity section is applicable, select the appropriate line item in the Warehouse/bin/quantity section and click [View ]. The Average cost field of the View Invoice Item Bin window is the location from which the value in the view originates.
Contract Invoices , Credit Memos - Misc. Charges : The Cost column is not applicable for this type of transaction.
Contract Invoices , Credit Memos - Base Adjustments : The Cost column is not applicable for this type of transaction.

AP Vendor Invoices : The system looks at the value in the Amount field of the line item detail of the Accounts Payable invoice. To located this field in e-automate, from the Accounting menu select Accounts payable > Accounts payable invoices to display a list of AP invoices. Select the invoice for which you want to view cost from the list and click [View ] to open the AP invoice in view mode. Select the line item for which you want to view cost and click [View... ] to open the View Charge window. The Amount field in the View Charge window is the location from which the value in the view originates.
Margin : Revenue - Cost. The amount is the amount present in the Amount column of the e-automate invoice record.
Account Number : Displays number assigned to the revenue account selected on the line item detail of the transaction record, if applicable.
Department Number : Displays number assigned to the department selected on the line item detail of the transaction record, if applicable.
Cost
Account Number : Displays the account number assigned to the cost
of goods general ledger account selected on the line item detail of
the transaction record, if applicable.
Note:
To view which account numbers are associated with which accounts,from
the e-automate Accounting menu, select General ledger accounts to
display the General ledger accounts list.
Cost
Department Number : Displays the department number assigned to
the general ledger department selected on the line item detail of
the transaction record, if applicable.
Note:
To view which department numbers are associated with which departments,
from the e-automate Accounting menu select General ledger departments
to display the Departments list.
Tax Flag : The number that displays in this column tells how the line item in the transaction is set to be taxed. If the number is 0 the item is not taxed. If the number is 1 the item is taxed as an Item. If the number is 2 the item is taxed as Labor. If the number is 4 the item is taxed as Travel. If the number is 8 the item is taxed as Freight. If the number is 16 the item is taxed as Miscellaneous.
Clicks-Actual : Total meters for the equipment associated with the transaction.
Clicks-Base and Overage : Total amount of base and overage meters for the equipment associated with this transaction.
Clicks-Base : Total amount of base meters for the equipment associated with this transaction.
Clicks-Overage : Total amount of meters over the configured maximum for the equipment associated with this transaction.
Clicks-Underage : Total amount of meters under the configured minimum amount.
Entered By : Name of the employee who entered the transaction.
Entered Date : Date the transaction was entered.

The columns listed above are the columns that display when the view is run as is without customizing. More columns can be added to this report when you customize. For more information on how to customize a report see the Creating and Customizing a View topic. The following columns are those that you can add when customizing:
Account Name: Displays the name of the Revenue account selected on the line item detail of the transaction record, if applicable.
Cost Account Name : Displays the name of the cost of goods general ledger account selected on the line item detail of the transaction record, if applicable.
Cost Department Name : Displays the name of the general ledger department selected on the line item detail of the transaction record, if applicable.
Department Name : Displays the name of the department select on the line item detail of the transaction record, if applicable.
Equipment Instance : Displays the number of times the same equipment record is added to the contract. If the equipment record is added a second time, this field will display 2. If the equipment record is added a third time, this field will display 3.
Ship To Number : Standard ship to customer number associated with the invoice in e-automate.

Record Count : Amount of transactions included in this view.
SUM (Quantity) : Total quantity for all transactions listed in the view.
SUM (Revenue) : Total revenue generated from ALL transactions in this view.
SUM (Cost) : Total cost associated with all transactions listed in this view.
SUM (Margin) : Total margin for all transactions listed in the view. This is calculated by: SUM(Revenue) - SUM(Cost).
SUM (Clicks-Actual) : Total meters over the configured maximum for ALL transactions listed in the view.
SUM (Clicks-Base-and-Overage) : Total base and overage meters for ALL transactions listed in the view.
SUM (Clicks-Base) : Total base metes for ALL transactions listed in the view.
SUM (Clicks-Overage) : Total overage meters for ALL transactions listed in the view.
SUM (Clicks-Underage) : Total meters under the configured minimum amount for ALL transactions listed in the view.
AVG (Quantity) : Average quantity of all transactions listed in the view.
