Creating a ProspectCreating a Prospect

When you create a new sales quote, you can create the quote for an existing customer or for a prospective customer.

When you create a prospect, the customer remains a prospect until the sales quote is sent to e-automate. When the sales quote is sent to e-automate, the system creates a sales order in e-automate from the sales quote and makes the prospect an active customer in your e-automate database. Use these steps to create a prospect when creating a new sales quote.

Under the Accounts region, click the [New…] icon (piece of paper) to open the Add Prospect window.

Enter the following general information for this prospect as appropriate:

Prospect name: Name of the prospect who is not yet an active customer in your system and for whom you are creating the quote.

Attention: Name of the person to send the quote to.

Remarks: Any comments you want the prospect to see on the sales quote.

Enter the following details for this prospect as appropriate:

Address: The street address portion of the prospect's mailing address. This field is required.

City: The city in which the prospect is located. This field is required.

County: The county in which the prospect is located.

State: The state in which the prospect is located. This field is required.

Zip: The zip code or postal code portion of the prospect's mailing address. This field is required.

Country: The country in which the prospect is located.

Phone1: The prospect's primary phone number. This field is required.

Phone2: The prospect's secondary phone number.

Fax: The prospect's fax number.

Email: The prospect's email address.

Website: The prospect's web site for customers.

In the Tax code field, use the drop-down menu to select the tax code you want to assign to this prospect. When the sales quote is submitted to e-automate creating a sales order, e-automate will use the tax code you selected here.

In the Price level field, use the drop-down menu icon to select the price level you want to assign to this prospect.

Click [OK] to add the new prospect to the Accounts list.

Deleting a ProspectDeleting a Prospect

When you create a new sales quote, you can create the quote for an existing customer or for a prospective customer.

If necessary, you can also delete a prospective customer—provided no quotes and opportunities are associated with the prospect.

Note: If any quotes and opportunities are associate with the customer, you must delete the quotes and opportunities associated with the prospect before you can delete the prospect.

In the Accounts region, use the drop-down menu icon to select the prospect you want to delete.

Click the [Delete...] icon (red circle) to display the Delete Prospect verification window.

Click [Yes] to delete the prospect.

Editing a ProspectEditing a Prospect

When you create a new sales quote, you can create the quote for an existing customer or for a prospective customer.

When you create a prospect, the customer remains a prospect until the sales quote is sent to e-automate. When the sales quote is sent to e-automate, the system creates a sales order in e-automate from the sales quote and makes the prospect an active customer in your e-automate database. Use these steps to create a prospect when creating a new sales quote.

Before the customer becomes active, you can edit the prospect information as necessary. To edit information for a prospect, do the following:

In the Accounts region, use the drop-down menu to select the prospect you want to edit.

Note: Prospects display with the word Prospect in the Customer No. column.

Click the  [Edit...] icon (paper and a pencil) to open the Edit Prospect window.

Make changes to the prospect's general information in the following fields as appropriate:

Prospect name: Name of the prospect who is not yet an active customer in your system and for whom you are creating the quote.

Attention: Name of the person to send the quote to.

Remarks: Any comments you want the prospect to see on the sales quote.

Make changes to the prospect details in the following fields as appropriate:

In the Price level field, use the drop-down menu icon to select the price level you want to assign to this prospect.

Click [Update Prospect] to save the changes to the selected prospect.
