Using the e-automate Login window

To access e-automate, you use the e-automate Login window. When using the Login window, you enter your assigned user ID-and-password combination and you select the logon profile identifying the company database and server you want to access. E-automate uses this information to verify your access to the company database and to determine the areas of e-automate to which you have access and the rights you have to view, create, edit, and/or delete data in those areas.

When using the Login window, you can create a logon profile that identifies the default or typical settings you want to use when logging in to e-automate. E-automate is an application that is installed on a computer, and you use that computer to have controlled access to your company database. When you log in to e-automate, you can select or create a profile that directs e-automate where on your network to go to access your e-automate database server. In addition to the database server, e-automate relies on another server called the Digital Gateway server or DGServer for short. The DGServer is typically installed on the same computer as your database server but does not have to be. The DGServer monitors your usage of e-automate and helps in controlling your access to the data. The purpose of the profile is to allow you to identify the location of the database server and the DGServer so you do not have to identify it every time you log in to e-automate. When setting up a logon profile, you must know the name of your SQL server (database server) as well as the DGServer (can be the same). If you have branching enabled in your e-automate database, you also use the logon profile to designate the default branch you want to sign in to.

For advanced users, you can also use the Login window to designate which port your SQL Server is using, if it is different than the default port specified by Microsoft.

Using the Login windowUsing the Login window

Do one of the following to launch e-automate:

If when you installed e-automate, you placed a shortcut on your desktop, double-click on the shortcut to launch e-automate.

If when you installed e-automate, you placed a shortcut on your Quick Launch bar, click on the e-automate icon to launch e-automate.

Using the Windows start menu, select Start > All Programs > ECI > e-automate to launch e-automate.

In the User ID field enter the user ID assigned to you by your system administrator.

In the Password field, enter your password.

Note: Some administrators require strong passwords. Strong passwords must be at least eight characters long and must have at least three of the following four groups or characters. Uppercase letters, lowercase letters, numbers and any of the following symbols: #, $, %, or &.

In the Profile field, use the drop-down menu to select the profile for the company you want to access.

To create a new profile, do the following:

Click the pencil profile button to the right of the Profile field. The system displays the Manage Logon Profiles window.

To create a new profile, click [Add]. The system displays the Edit Logon Profile window.

In the SQL server field, enter the exact name of your SQL Server. If you do not know the name, ask your system administrator.

Note: If you are using an instance of SQL Server, be sure you enter your server and instance (e.g., SERVER\Instance).

In the DGServer field, enter your DGServer name.

Note: As you enter a value in the SQL server field, the system begins populating the DGServer field with the same value. In the DGServer field, do not include the SQL instance. If you want to designate a different port, enter the DGServer name and then place a colon and the port number (e.g., DGSERVERNAME:1234). When editing a profile, e-automate automatically supplies the default port, 1331, after the profile is saved.

Click the [Next > >] button to continue.

In the Company field, use the down-down menu to select from a list of e-automate companies that are on your designated SQL server.

Click the [Next > >] button to continue.

If you have branching enabled on the selected database, do the following:

In the Branch field, use the drop-down menu to select the branch you want to log in to when using this logon profile.

Note: This option is only displayed if branching is enabled on the selected database.

If the Show data from only user assigned branches checkbox is checked in Tools > Options > Company > Departments and branches, the system displays a Show data from this branch only checkbox. Do one of the following:

Check this box if you want the system to display only data that pertains to the branch selected in the Branch field when you log in using this logon profile. For example, if your company has three branches, Branch A, Branch B, and Branch C, and you are assigned to Branches A and B via the Edit Branch window's Users tab (accessible from the Branches list window) for those two branches, and the Branch field for this logon profile is set to Branch A, check this box if the system should only display data that pertains to Branch A but not to Branches B or C when you log in using this logon profile.

Uncheck this box if you want the system to display data that pertains to any branch to which you are assigned, regardless of the branch selected for this logon profile. For example, if your company has three branches, Branch A, Branch B, and Branch C, and you are assigned to Branches A and B via the Edit Branch window's Users tab (accessible from the Branches list window) for those two branches, and the Branch field for this logon profile is set to Branch A, check this box if the system should display data that pertains to Branches A and B but not to Branch C when you log in using this logon profile.

Click the [Next > >] button to continue.

In the Profile name field, accept the pre-defined name or enter a name for your profile.

Note: The profile name must be unique.

Click the [Finish] button to complete the profile.
You can edit or delete profiles from the profile list.

Click [OK] to validate your credentials and log in to e-automate.

Note: If your database has not been backed up recently, e-automate may display a backup warning. If the warning displays, click [OK] to acknowledge and make sure you notify your system administrator. If your credentials are not correct, e-automate displays a window to alert you. Click [OK] to acknowledge. If your credentials are not correct, you must re-launch e-automate. Begin at step 1 again.
