Recording Vendor Refunds

The Record Vendor Refunds activity is used to apply a vendor refund check against an open accounts payable credit memo. During the Record Vendor Refunds activity, e-automate applies the refund against the credit memo and records a cash receipt in the non-deposited receipts.

Getting to the TransactionGetting to the Transaction

From the Accounting menu, select Accounts Payable > Record Refunds to open the Record Refunds window.

Basic InformationBasic Information

Complete the following fields as appropriate:

Vendor: Name of the vendor from whom you are receiving the refund. The vendor phone number automatically populates.

Undeposited receipts account: Account to which the refund will be debited.

Note: This account is used as a temporary holding place until the deposit is made.

Number: Automatically assigned refund number.  You may change the number.

Date: Date you are recording the refund.

Method: Type of payment you are receiving - cash, check, or credit card. If you select Check as the method, e-automate displays the Check No. and Check date fields to be completed.

Note: You can enter check numbers with letters, numbers, or both.

Amount: Amount of the refund.

Note: You do not need to enter a negative number. Enter the amount, press the [TAB] key and e-automate handles the negative.

Unapplied: Amount e-automate calculates that is not yet applied to an invoice.

Apply the refund to a credit memo by doing the following:

Click [Add] to open the Add Refund Details window.

Complete the following fields as appropriate:

Apply to credit memo/invoice: Credit memo for which the refund is being
received.

Note: Be sure to select a credit memo.

Amount to apply: Amount of the refund.

Note: This amount should be entered as a negative amount.

Terms discount amount: Amount of the discount applied to the credit memo.

Terms discount account: Account to be debited with the terms discount amount.

Terms discount department: Department assigned to the credit memo.

Accounts payable account: Accounts payable account.

Click [OK] to save the information and return to the Record Refunds window.

Completing the TransactionCompleting the Transaction

Click [OK] to apply the refund to the selected credit memo and record a cash receipt for deposit.
