Creating Report Groups
You use report groups on service contracts to identify the primary contract report and any supplemental reports you want generated when you invoice service contracts. When billing and invoicing service contracts, e-automate looks to the report group and the Primary report definition assigned to the group to determine which contract invoice it creates for the billed contract. E-automate has a default Report Group assigned to service contracts and the standard contract invoice is defined on the default report group as the primary report.
If you have custom contract reports, you can use the report group to assign a report to a specific contract using the report group. Before you can use custom reports in the report group, you must first create a Report Definition. For more information, see the Creating Report Definitions topic. In addition to assigning a primary report to the report group, you can also create additional customized reports and assign them to the report group as supplemental reports. When assigning supplemental reports, you can identify the output format for the supplemental report.
In order to deliver the supplemental reports to your customers, you must be using the e-automate document queue and emailing contacts to which you want to send supplemental contract invoice reports. E-automate identifies the contract to which you send supplemental contract invoice reports by looking at the accounts receivable contact assigned to the bill-to customer on the service contract. If the accounts receivable contact associated with the bill-to customer is configured for email, e-automate can send the contact the supplemental contract invoices using the customer document queue. If you want to send the supplemental reports to a different contact, you can modify the settings on the service contract to identify a different email contact in which you want to queue the supplemental reports.
The report group also identifies the recipient and the reports that are delivered when a request for invoices is made through e-info.
Getting to the TransactionGetting to the Transaction
From the Tools menu, select Lists and Codes to open the Lists and Codes window.
In the Select a list or code type field, use the drop-down menu to select Report groups.
Click [New] to open the New Report Group window.
Basic InformationBasic Information
In the Report group field, enter a brief name to identify this report group.
In the Description field, enter additional information to further identify this report group.
In
the Primary report
definition field, use the lookup icon to select the main
report definition you want to associate with this report group.

To define supplemental report definitions for this report group (which will be delivered only via e-mail and accessible only via e-info), do the following:
In the Report definition field, use the lookup to select a pre-defined report definition.
In the Export format field, use the lookup icon to an export format.
Click the [QuickAdd] button to add the supplemental report with the associated format to the list.
To add additional supplemental report definitions, repeat Steps 4.a-4.c.
To update a supplemental report definition, do the following:
Select from the list the supplemental report definition you want to update.
In the Report definition field, use the lookup to select a different pre-defined report definition or make no change to use the option selected.
In the Export format field, use the lookup icon to an export format or make no change to use the option selected.
Click the [Update] button to save your changes to the selected row in the display.
To remove a supplemental report, do the following:
Select from the list the supplemental report definition you want to remove.
Click the [Remove] button.
