Assembled Bin Tracking

To use the assembled bin tracking functionality on equipment accessories, you must have enabled this feature in e-automate under Inventory Options. For more information on how to enable and use the Assembled Bin Tracking functionality, see the Setting Inventory Options topic. When this option is enabled, e-automate displays two new bin defaults on the warehouse profile. Instead of transferring the accessories to the same warehouse and bin as the host, e-automate now transfers the accessories to the bin identified in the Assembled Bin field for the host equipment’s current location warehouse. The bin identified in the Assembled Bin field is for accessories attached to hosts that are in stock, and the bin identified in the Sales/Shipped/Assembled bin is for accessories that are still in stock but have been shipped using the sales order shipping functionality. Accessories in the bin identified in the Sales/Shipped/Assembled bin field remain there until the sales order is fulfilled or the sales order shipment is reversed or canceled. This makes accessories much easier to identify as attached accessories, and they are less likely to be used inadvertently.

Dependent upon the operation you are performing, assembled bin tracking functions in the following ways:

Transfers

When transferring a host machine with accessories, the accessories on the Accessory Checklist will default to the assembled bin for the host source warehouse and the assembled bin for the destination warehouse.

Sales Invoices

When host machines are added to sales invoices, the accessories that come from the Accessories Checklist will default to use the assembled bin for the identified host machine warehouse to fulfill the invoice.

Customer Returns

When host machines are returned using a sales credit memo, the accessories that are attached to the identified host return to the assembled bin.

Negative Sales Orders

If assembled bin tracking is enabled, non-serialized items will automatically go to the assembled bin. For serialized items you must identify the assembled bin as the receiving bin on the sales order.

Positive Sales Orders

When the machine is built, use the equipment accessories window to record the build and link it to the sales order. This process automatically transfers the accessories to the assembled bin and updates the identified sales orders warehouse details so the accessories fulfill from the correct assembled bin.

Inventory Quantity Adjustment Increase

When host machines are added to inventory, the accessories that come from the accessories checklist will default to use the assembled bin for the identified host machine warehouse. 

Inventory Quantity Adjustment Decrease

When host machines are removed from inventory, the attached accessories are drawn from the assembled bin for the host equipment’s warehouse.

Shipments

When a host equipment is shipped that has attached accessories, they pull from the sales shipped assembled bin.

Physical Inventory

When you create an inventory list it will include quantities in the assembled bin. These assembled bin items will be addressed when the list is created.

When the list is created, the system will attempt to match all accessories in the assembled bin with their respective host machines.  The resulting inventory list will include all accessories coupled with their host and in the same bin for the purposes of physical inventory.

If there are accessories in the assembled bin that could not be matched to a host, these orphaned accessories will remain in the assembled bin for the purposes of the physical inventory.

If you have accessories listed under the host with a quantity of zero, it means there are missing accessories. In other words, the system could not find sufficient quantity in the assembled bin for the quantity that is identified as attached to the host.

Recording counts

In the Record Counts window accessories are identified in the host equipment’s warehouse and bin where the Assembled Bin is listed parenthetically.

If you increase or decrease count on an accessory line, the assembled bin is used instead of the host machine’s warehouse and bin. The accessory list is automatically updated to reflect this change.

Reports

When the Inventory Location by Warehouse Report is generated, e-automate will attempt to match all accessories in the assembled bin with their respective host machines.

If there are accessories in the assembled bin that could not be matched to a host, these orphaned accessories will remain in the assembled bin for the purposes of the report.

If you have accessories listed under the host with a quantity of zero and there is a red warning text below, it means there are missing accessories. In other words, the system could not find sufficient quantity in the assembled bin for the quantity that is identified as attached to the host.

Avoid the following processes:

Do not complete equipment builds after a sales order has been shipped. Builds should be performed prior to shipping.

Do not use the transfer transaction to transfer into or out of the assembled bin.
Note: It is appropriate to transfer into or out of an assembled bin when correcting an orphaned accessory.

Do not complete equipment builds during the sales order shipping or fulfillment process.  This will result in orphaned accessories in the assembled bin.

Getting to the TransactionGetting to the Transaction

From the Sales menu, select Sales Orders to open the Sales Order window.

Basic InformationBasic Information

After the sales order has been configured and approved, print out the sales order or packing list identifying hosts and their related accessories.

Set up the machine with the proper accessories using the sales order or packing list.

Once the machine is physically set up, find the host machine on the equipment list, open the Build Accessories window and select the sales order based on the sales order/packing list. The Build Accessories window auto populates the accessories identified on the sales order for that host.

When the sales order is selected, the imported accessories will display the star icon,  indicating they are new to the list and not yet saved to the current host. You will also see a green arrow,  indicating that the quantity is increasing from zero.

Identify serial numbers if applicable, and audit the accessories attached or missing to assure that the correct quantities of hosts and accessories are identified.

When the accessories are confirmed, click [OK]. The system updates the accessories list on the equipment, transfers the accessories to the assembled bin for the associated host warehouse, allocates serial numbers to the specific sales order, and updates linked accessories on the sales order to use the assembled bin for fulfillment. If the Edit Accessories window is subsequently opened, the system evaluates the accessories on the unfulfilled sales order with accessories on the equipment and proposes changes to equipment accessories to match the sales order. For example, if an accessory was removed from the sales order and it remains identified on the equipment accessories list, e-automate proposes the removal of the accessory by identifying the line with a red down arrow,  and an “x” icon.

If accessory quantity has increased on the sales order but not on the equipment, e-automate displays a quantity increase to the accessory screen by displaying a green up arrow, . In addition, when there are proposed changes e-automate also displays an appropriate message at the bottom of the Edit Accessories window.

Click [OK] to save the sales order.
