Sending Text Messages

Text messaging is sending an email to an electronic device. You can configure e-automate to send a text message when you dispatch a call from the Dispatch Console window. You can also send a text message using the Tools menu or a button in the Dispatch Console.

When using the text messaging feature in e-automate, you configure what information you want contained in the text message, the order of the information, whether the information is labeled and whether or not you want a new line with each field of data you send. For more information on configuring text messages, see the Setting Service Call Options topic.

Getting to the TransactionGetting to the Transaction

On the e-automate toolbar, click [Dispatch] to open the Dispatch Console window.

In the Service calls for: All Technicians region, select the call for which you want to send a text message.

Click [Message] to open either the Attention Required window or the Text Message window.
Note: The Attention Required window displays if a default text messaging device has not been set up for the technician. Your recipient must be set up with a default text messaging profile for you to use them as a recipient. For instructions, see the Creating Employees/Contractors topic.

If the Attention Required window displays, do the following:

Click [Yes] to open the Edit Employee window with the Text Messaging tab forward.

In the Description field, enter a description of this text messaging device.

In the Identification field, enter the identification number for the device, typically a cell phone number. If you are entering a phone number, only enter numbers in this field. Do not enter dashes, parentheses, spaces, etc. If you are entering an email address, enter the information preceding the @.

In the Device type field, use the lookup to select the device type.
Note: Your system administrator must have already added appropriate device types.

Click [QuickAdd] to add the text messaging device.

Click [OK] to save the employee profile changes and return to the Text Message window.

Basic InformationBasic Information

In the To field, verify the recipient or use the lookup to select the recipient.

In the Subject field, enter the subject of the message.
Note: If you have enabled the Create Text message on dispatch and insert service call information into message option in the system options, e-automate automatically populates the Subject and Message fields as defined in the system options. You can edit these fields prior to sending the text message.

In the Message field, modify or enter the message.

To send multiple text messages if the text message exceeds the device’s character limitations, check the Send multiple messages if too long checkbox. E-automate will send multiple messages until the entire message is sent.

To number the text messages that are part of the same text message (e.g., 1 of 3, 2 of 3, 3 of 3), check the Number messages X of Y checkbox.
Note: This option is only available when the Send multiple messages if too long checkbox is checked.  
Note: For the above options to be available, your system administrator must enable them.

Completing the TransactionCompleting the Transaction

Click [Send] to send the message.
Note: E-automate sends the message through your email account on your computer unless you have specified another method. Typically your email recognizes the attempt to send and allows you the opportunity to stop the email. If you want to send the text message, you must allow it to be sent when asked by your email program.
