Assigning Equipment History Tracking Configurations

To use e-automate's Equipment History Tracking (EHT) functionality, you need to assign the EHT configuration(s) you create using the Creating Equipment History Tracking Configurations topic to the equipment-coded inventory item(s) you want to track. You can assign a configuration on a per-item basis by editing an inventory item's Item record, or you can assign a configuration to multiple inventory items at one time using a bulk assign feature in Lists and Codes.

On the eautomate toolbar, click [Items] to open the Items window.

In the QuickSearch region, do the following to list only Item records containing equipment codes:

In the unlabeled Column field (the first field in the QuickSearch region), use the drop-down menu to select Equipment code.

In the unlabeled Comparison Operator field (the second field from the left in the QuickSearch region), select does NOT begin with.

Leave the unlabeled Value field (the third field from the left in the QuickSearch region) blank.
Note: In addition to filtering for inventory items containing equipment codes, you can enter additional filter parameters if desired. For more information on using QuickSearch functionality, see the Using the QuickSearch topic.

To run the search, click the [Go] button. E-automate displays the inventory items that have equipment codes (and that meet any other filter parameters you specified in Step 2.c.

From the list, select the item to which you want to assign a configuration.

Click [Edit] to open the Edit Inventory Item window.

On the Codes and Settings tab, in the Tracking Configuration field, use the lookup to select an Equipment History Tracking configuration.

Click [OK] to save the configuration assignment in the Item record.

From the Tools menu, select Lists and Codes to open the Lists and Codes window.

In the Select a list or code type field, use the drop-down menu to select Configurations (Equipment History Tracking).

Right-click on the configuration to be assigned, and select Assign to open the Tracking Configuration Assignment window.

Use the QuickSearch to list only the equipment items to which you want to assign the selected tracking configuration. For information on using QuickSearch functionality, see the Using the QuickSearch topic.

Click [OK] to assign the configuration.

Do one of the following:

If you clicked [OK] after performing a QuickSearch that returned a filtered list of items, the system displays the message: "Are you sure you want to assign all rows in the list to configuration '[configuration name]? By clicking 'Yes', [number] configuration assignments will be created." To create the assignments and close the Tracking Configuration Assignment window, click [Yes]; to cancel the process without making any changes, click [No].

If you clicked [OK] after performing a QuickSearch that returned all the items (e.g., you clicked [Go] without entering any search parameters), the system displays the message, "The list is not filtered. Are you sure you want to continue?" Do the following:

Click [OK] to acknowledge and close the message. The system displays the message: "Are you sure you want to assign all rows in the list to configuration '[configuration name]? By clicking 'Yes', [number] configuration assignments will be created."

To create the assignments and close the Tracking Configuration Assignment window, click [Yes]; to cancel the process without making any changes, leaving the Tracking Configuration Assignment window open so that you can adjust your QuickSearch if desired, click [No].

If you clicked [OK] without using the QuickSearch to locate equipment items to which you want to assign the selected tracking configuration, the system displays the message, "There are no rows in the list. No assignments can be created." Return to Step 4 to locate the equipment items to which you want to assign the selected tracking configuration.

 

Note: If you need multiple equipment tracking configurations, (e.g., a complex tracking configuration for advanced equipment and a simple one for basic equipment), create the necessary configurations and then repeat the steps in this process to assign the configurations.
